Short Summary

The Driver App is used in a business fleet environment. The app directly collects or generates location data, app logs, error/crash logs, device/app diagnostic information, notification tokens, and operational data entered or uploaded through enabled app features. The app also receives some company, user, driver, vehicle, configuration, and contact data from IntelliTrac servers so it can display the right information and work offline.

1. Who We Are

IntelliTrac Driver App is provided by IntelliTrac Pty Ltd for fleet, GPS telematics, driver workflow, and vehicle management services. In many deployments, the app is provided to drivers by their employer, fleet operator, contractor, or another organisation that manages the relevant IntelliTrac account.

Depending on your organisation's setup, IntelliTrac may act as a service provider or processor for your employer or fleet operator. Your employer or fleet operator may also have its own privacy notices and workplace policies that apply to your use of the app.

2. Data We Collect or Process

Not all data shown in the Driver App is collected directly from the driver or the device. Some data is supplied by IntelliTrac servers or by the driver's employer, fleet operator, or account administrator, then stored locally in the app for display, offline use, and synchronisation.

Data collected or generated by the app

Location Data

Current or last known GPS coordinates, timestamp, accuracy, altitude, heading, speed, check-in/check-out location, and virtual device location updates where enabled.

App Logs and Error Logs

App logs, background task logs, sync logs, crash reports, error events, API error details, diagnostic events, support logs, and screenshots captured by the error reporting tool when enabled.

Device and App Information

App-generated device identifiers, hardware identifiers, device model, manufacturer, brand, operating system, app version, Bluetooth adapter name, binding mode, configured device/server IDs, app settings, and push notification tokens.

Operational User Submissions

Only when the relevant feature is used: check-in/check-out actions, checklist or questionnaire answers, vehicle condition reports, photos, videos, audio captured with video, files, chat messages, FBT trip entries, and fatigue/work history entries.

Data received from the server and stored by the app

Account and Driver Reference Data

Usernames, names, email addresses, phone numbers, driver IDs, driver names, RFID or other driver allocation identifiers, company/client identifiers, branch or region, licence-related details where configured, and account status.

Vehicle and Fleet Reference Data

Vehicle device IDs, vehicle names, registration details, model or make where configured, assigned driver information, vehicle allocation history, and vehicle configuration data.

Configuration and Workflow Data

Client settings, server settings, app feature flags, checklist/questionnaire templates, fatigue settings, FBT trip types, forms, weight limits, and other configuration needed to run enabled workflows.

Messaging Reference Data

Chat rooms, room participants, contact/user lists, message history, broadcast messages, message status, and attachments received from the server for in-app messaging.

3. App Permissions

The app asks for permissions only when needed for enabled features:

  • Location: to support vehicle check-in/check-out, compare driver and vehicle location, send virtual device updates, and support fleet safety workflows.
  • Camera: to scan QR codes and capture photos or videos for checklist, pre-start, post-checklist, or vehicle condition workflows.
  • Photos and files: to select and upload images or files when a workflow requires supporting evidence.
  • Microphone: to record audio when video evidence is captured, if this feature is used.
  • Bluetooth: to connect to compatible GPS, MDT, or vehicle devices and receive related device information.
  • Notifications: to send operational alerts, messages, reminders, fatigue notifications, and service updates.
  • Background or foreground services: to keep enabled operational workflows running, such as virtual device location updates, sync, and safety notifications.

4. How We Use Data

We use collected and processed information to:

  • authenticate users and maintain app sessions;
  • sync data between the app and IntelliTrac servers, including when the device has been offline;
  • allocate drivers to vehicles and record check-in/check-out events;
  • provide pre-start, post-checklist, vehicle condition, fatigue management, FBT, messaging, and notification features;
  • support fleet safety, compliance, audit, reporting, and customer administration requirements;
  • register app devices and notification tokens for operational messaging;
  • detect, investigate, and fix crashes, sync problems, API errors, and service issues;
  • protect the app, the service, drivers, customers, and vehicles from misuse or unauthorised access.

5. Sharing and Service Providers

We may share or make data available to:

  • your employer, fleet operator, account owner, authorised administrators, dispatchers, compliance staff, and support staff;
  • IntelliTrac group companies, support teams, contractors, and hosting providers that help operate the service;
  • third-party service providers used by the app, such as Firebase Cloud Messaging for push notifications, Sentry for crash and diagnostic reporting, and Microsoft/Azure services where single sign-on is enabled by your organisation;
  • law enforcement, regulators, courts, or other parties where required by law or where disclosure is necessary to protect rights, safety, security, or legal interests.

We do not sell Driver App personal information.

6. Data Retention

We retain Driver App data for as long as needed to provide the service, meet customer fleet management requirements, support safety and compliance obligations, resolve disputes, maintain security, and comply with legal requirements. Unless a different period is required by law, contract, or your organisation's account settings, we apply the following retention periods:

7. How to Request Account or Data Deletion

You can request deletion of your Driver App account data or specific Driver App data. Because the app is normally provided through an employer or fleet operator, some records may belong to or be controlled by that organisation. We may need to verify your identity and confirm the request with the relevant account owner before deleting operational records.

  1. Send a deletion request through your employer, fleet manager, or IntelliTrac account administrator; or
  2. Contact IntelliTrac using the contact details in this policy and include: your name, username if known, employer/fleet operator, vehicle/device ID if known, email or phone number connected with the account, and whether you want the whole account deleted or only specific data deleted.

Deletion timing: We aim to acknowledge deletion requests within 7 days and complete verified deletion requests within 30 days, unless we must retain some information for legal, safety, compliance, security, billing, dispute, or fleet audit reasons.

If some data cannot be deleted immediately, we will explain the reason where permitted. Data retained for legal or compliance purposes will be restricted to those purposes and deleted or de-identified when it is no longer required.

You may also remove local app data from your device by logging out, clearing app storage, or uninstalling the app. This only removes data stored on that device and does not delete server records.

8. Security

We use administrative, technical, and organisational measures designed to protect Driver App data from unauthorised access, misuse, loss, or disclosure. These measures include account authentication, controlled access, server-side permissions, encrypted network transport where supported by the service endpoint, operational monitoring, and support controls.

No app, network, or storage system can be guaranteed to be completely secure. Users must keep usernames, passwords, devices, and SSO credentials secure and must report suspected unauthorised access to their employer, fleet operator, or IntelliTrac.

9. Your Choices and Rights

Subject to applicable law and your organisation's control of fleet records, you may request access, correction, deletion, restriction, or a copy of personal information connected with your Driver App use.

You can also control app permissions through your device settings. Turning off permissions may limit or disable features such as QR scanning, check-in/check-out, Bluetooth GPS device connections, uploads, messages, notifications, and location-based workflows.

10. Children

The Driver App is intended for business fleet and workforce use. It is not directed to children, and we do not knowingly collect personal information from children through the app.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to the app, service, legal requirements, or operational practices. The effective date at the top of this page shows when the policy was last updated.
